Case Study: Webmail Problem Solving & Google Workspace Setup

TLDR: Brianna Reagan Art, Inc. hired me to solve a problem with their company’s frustrating webmail system, and now they can trust that everything is working properly with their new Google Workspace setup!

Client Introduction

Brianna Davis is a fine artist and illustrator based out of Fairbanks, Alaska. Her business, Brianna Reagan Art, Inc., offers either custom fine art creation or logo and other professional visuals design for companies.

A mutual artist friend referred Brianna to Bespoke Digital Solutions because I had helped them solve a similar webmail problem in the past.

The Challenge

Brianna had used the webmail feature provided by her domain host, Network Solutions, since setting up her website in 2017. She ran into some technical difficulties and struggled with them for over six months. She had reached her breaking point and was ready for a change.

Among the challenges she faced were:

  • Email messages and folders were not syncing across her devices.
  • Her account stopped sending and receiving emails to/from her clients with Gmail accounts.
  • She spent a lot of time looking for work-arounds instead of working on her business.
  • Network Solutions technical support was unable to resolve her issues.
  • She worried that she would have to lose her business email address.

The Solution

The logical solution for Brianna’s situation was to move her business email system from Network Solutions webmail to Google Workspace because we knew it would be a more reliable email system for her business.

The steps I took are below:

  • Moved all emails from Network Solutions webmail account to personal Gmail account
  • Created Squarespace account
  • Transferred domain from Network Solutions to SquareSpace
  • Acquired Google Workspace account via Squarespace
  • Moved emails from personal Gmail account into Google Workspace email account
  • Set up email forwarding from Gmail account to Google Workspace account

This project definitely qualified as ‘tedious tech’ since it primarily involved back-end domain settings and multiple calls to technical support to be sure everything was in order for all the transitions. It also required much attention to detail to be sure all the emails were successfully moved between email accounts twice.

It is my practice to not mark a project as ‘complete’ until I know everything is working as it should for my client. After all the accounts and settings were in place, Brianna and I kept in touch until we both knew all of her email accounts and domain settings had activated as expected. (Domain settings can take up to several days to update on the back-end.) After a few days, all of the back-end settings were set and transitions complete.

The Impact

The best parts about this project are the lasting impacts for Brianna and her business! To name a few:

  • She has confidence in her business email account’s email messages and folders syncing across her devices.
  • She no longer has to perform work-arounds just to send emails to clients or wonder if she’s missing incoming emails.
  • She was able to keep her business email address.
  • Her domain and its settings are now managed via Squarespace, a more user-friendly platform.
  • She has access to all her old emails and folders in her new Google Workspace account.
